How Does Digital Signage Work? A Simple Explanation

A digital signage system has a simple job: get the right content on the right screen at the right time. To do that, it splits into a content side you control from a browser and a playback side that runs next to each screen.

1. You create and organize content

In the content management system you upload images and video, start from templates, or generate artwork with AI. You group items into playlists or build a sequence directly on a screen, then set how long each item shows and how it transitions.

2. You schedule it

Scheduling decides when each item plays: certain days and hours, a start and end date for a campaign, or a different schedule per location in its own timezone. This is how a breakfast menu turns into a lunch menu without anyone touching the screen.

3. The player fetches and plays it

Each screen is connected to a device running a player app. The player pairs with your account using a short code, downloads the content assigned to it, and plays it full screen. It keeps a local copy of the media so playback continues if the network drops.

4. Changes are pushed live

When you publish a change, the dashboard sends it to the affected players over a live connection so it appears in seconds. Good systems also poll periodically as a backup in case the live connection is interrupted.

5. You monitor the fleet

The platform reports which screens are online and how the devices are doing, and can alert you when one goes offline. See screen management for what that covers.

What happens if the internet goes down?

The player keeps replaying the last content it downloaded, then refreshes when the connection returns. The screen does not go blank just because the network did.
