How to Switch Digital Signage Platforms Without Losing a Week

Every digital signage platform makes the same promise: quick setup, one dashboard, screens updated in seconds. The part nobody advertises is switching away from one once you're already running it on a dozen screens across a few stores. It's not actually the multi-week project it sounds like, as long as you do it in the right order. 1. Audit what's actually live today, not what you think is live

Before touching anything, list every screen, what's supposed to be playing on it, and which location it's at. It's common to find a screen or two nobody's actively managed in months, still running whatever was last uploaded. That's the list you're migrating, not a guess at it.

2. Check the hardware before you check the software

Most signage software runs on hardware you already own: a Windows PC, a Mac, a Linux mini-PC, or an Android box. If that's what's already plugged into your screens, a new platform's player app is usually a straightforward install on the same device, no new box to buy or ship to every location. That way your most visible content is correct first, and less-visible screens catch up over the following days without anything customer-facing going dark.

4. Rebuild templates once, then reuse them everywhere

If you're running the same menu board or promo layout across multiple stores, rebuild that template once in the new platform, then apply it everywhere instead of recreating it per screen. This is also the moment to try AI content generation if the new platform has it: generating a fresh on-brand banner from a prompt is often faster than manually rebuilding an old design pixel for pixel.

5. Run both platforms in parallel for your first location

Pick one store and pair its screens on the new platform while your old one is still technically live elsewhere. Confirm updates actually push, schedules fire on time, and the team there can use it without hand-holding. Once that one location is solid for a few days, roll out to the rest with real confidence instead of finding a scheduling bug across 40 screens at once.

6. Cancel the old subscription last, not first

It's tempting to cancel the old platform the moment the new one is set up, but keep it active until every screen is confirmed migrated and stable. A canceled subscription can mean a locked dashboard if you need to double-check something on an old screen mid-migration.
